Where these numbers come from

What was measured

  • A six-week quality-improvement audit from Oct 15 to Nov 25, 2025 covered 4,057 workflow events and 151 completed bookings, plus direct timing of document workflows in the same clinic.
  • Manual phone booking took 7-12 minutes of MOA time. Patient self-booking with EMR transcription took 1-3 minutes. The calculator uses a midpoint saving of 7.5 minutes.
  • Incoming fax processing averaged 3.5 minutes, with about one in six charts needing roughly five minutes of error correction.
  • The manual print, sign, scan, re-import, and fax loop averaged about 8.6 minutes. The in-EMR equivalent took 14 seconds.
  • Manual photo handling took 8-12 minutes per consult. Direct patient upload with automatic filing took 0-2 minutes.

How the estimate scales

  • Volumes scale from one clinic's observed ratios at roughly 150 visits per week: about 65 bookings, 100 incoming faxes, 40 sign-and-fax documents, 15 photo/form visits, and 115 prescriptions.
  • The low-high range uses the conservative and generous ends of each measured range. Annual figures assume 46 working weeks.
  • All hours are valued at MOA wages, including physician workflows. This keeps the dollar comparison conservative but does not mean every hour becomes a payroll saving.

What is not included

  • Your clinic may differ from the audited practice. Fine-tune known volumes above before using the estimate in a business case.
  • The estimate excludes recovered revenue from automated eligibility checks, measured at roughly $190-$800 per week in the audited clinic.
